Job Description

Position Overview

The Procurement Associate (PA) is responsible for Maintain inventory stock and records; determine appropriate stock levels; receive and checks in supplies. Track purchase orders and work with vendors on issues and product quality. Provide technical assistance on procurement processes; maintain detailed records and reports.

 

Roles and Responsibilities

  • Monitoring stock levels and identifying purchasing needs.
  • Researching potential vendors.
  • Analyze market and delivery systems.
  • Update internal databases with order details (dates, vendors, quantities, discounts).
  • Conduct market research to identify pricing trends.
  • Evaluate offers from vendors and negotiate better prices.
  • Determine the lowest cost for products/materials.
  • Maintain updated records of invoices and contracts.
  • Follow up with suppliers, as needed, to confirm or change orders. 
  • Prepare requisitions and purchase orders.
  • Organize and schedule procurements in a timely manner.
  • Operate equipment and follow all safety procedures.
  • Tracking orders and ensuring timely delivery.
  • Liaise with warehouse staff to ensure all products arrive in good condition.
  • Receive orders and document arrivals.
  • Manage supply base.
  • Monitor order expenses. 

Perform additional duties as requested by the management as and when required.
